Job Description:
Ultimate Staffing is seeking an experienced Administrative Assistant for our client in the construction industry. This role requires an organized, detail-oriented professional with previous experience in construction administration. The ideal candidate will assist in daily operations, support project management, and ensure the smooth running of administrative processes.

Key Responsibilities:

Provide general administrative support including answering phones, filing, and managing correspondence
Assist project managers with documentation, scheduling, and project tracking
Prepare and process contracts, submittals, change orders, and other construction-related documents
Maintain records for projects, ensuring all information is up-to-date and easily accessible
Coordinate with vendors, subcontractors, and clients as needed
Manage calendar appointments and schedule meetings
Perform data entry and manage project management software
Qualifications:

Minimum 2 years of administrative experience in the construction industry is required
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with construction management software preferred
Strong organizational and multitasking skills, with excellent attention to detail
Ability to work independently as well as part of a team
Strong communication skills, both verbal and written
Reliable, punctual, and committed to providing excellent support to the team
