Assistant Director of Advancement Operations - Department of Chemistry

The Department of Chemistry is searching for an Assistant Director of Advancement Operations who will be responsible for developing and maintaining mutually beneficial relationships between the department and its alumni, donors, and other constituents; serving as a liaison between the department and the university advancement community to ensure that advancement efforts effectively support department priorities; and overseeing or directly implementing all advancement, communications, and events activity. This position reports to the Associate Director for Administration, who reports to the Department Head.

Duties and Responsibilities

Alumni and Donor Engagement and Communication

  • Manage the department's relationships with its alumni and donors, working collaboratively with and in support of the college gift officer's overall prospect management strategy.
  • Identify, manage, and develop opportunities for strategic engagement of individual alumni and donors, including management of award nominations, identification and selection of speakers for convocation and other events, and other targeted engagement. Work closely with events staff to develop itineraries for alumni and donor visitors.
  • Identify, manage, and develop opportunities for strategic communication with individual alumni and donors, including impact reporting and other targeted correspondence.
  • Manage general engagement and communication with alumni and donors, including advancement events, giving stories, gift announcements, e-newsletter, news postcard, holiday cards, and other broad-based engagement and communications activities, working closely with events and communications staff.
  • Manage acknowledgment of department gifts.
  • Work with the University of Illinois Foundation (UIF)'s communications team to develop and implement annual plan for alumni and donor communications.
  • Develop, review, or approve copy and content for all departmental communications sent to or involving alumni and donors.
Gift and Fund Stewardship
  • Work closely with gift officer, financial staff, and head to develop funding priorities, proposals, and gift documentation language that ensures new gifts are impactful for the donor and the department.
  • Ensure timely and impactful spending of existing donor gift funds by working with financial staff and UIF to set up and manage new and existing gifts and funds, review gift agreement language, and work with donors to modify guidelines if needed.
Strategy & Leadership
  • Manage advancement, communications, and events for the Department of Chemistry.
  • Develop and implement advancement strategy in support of department priorities. Directly responsible for all advancement operations other than direct fundraising-including alumni and donor engagement and communications, gift and fund stewardship, and student and faculty engagement in advancement efforts.
  • Guide development of communications and events strategy in support of department priorities and oversee its implementation. Supervise communications and events staff. Provide guidance, training, and feedback, and evaluate performance.
  • Ensure that advancement, communications, and events efforts are inclusive and represent the department's diverse constituent base.
Collaboration with University Advancement Community
  • Serve as a liaison between the department and the university advancement community including central campus advancement, the University of Illinois Foundation (UIF), the Illinois Alumni Association (IAA), the College of Liberal Arts & Sciences (LAS), and other individual college and unit advancement offices.
  • Attend advancement trainings, meetings, events, and professional development activities. Ensure departmental alignment with university and college initiatives, policies, and practices.
  • Work closely with Chemistry's gift officer, financial staff, head, faculty advancement committee, and others as necessary to leverage departmental expertise in advancement and ensure that advancement efforts effectively support departmental priorities.
Student and Faculty Engagement
  • Increase student and faculty awareness of advancement and the impact of philanthropy.
  • Involve students and faculty in advancement efforts.
Advancement Activity Tracking and Documentation
  • Manage stewardship plans for the department's key donors and alumni in TED (the university's advancement database).
  • Record advancement activity and tasks in TED, uploading relevant documentation as needed.
Required Qualifications
  • Bachelor's degree.
  • Three years in education, training and/or work experience in in Advancement and or Alumni operations. Demonstrated supervisory experience. (Note: Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.)
  • Based on position requirements, additional education, training, and/or work experience in the area of specialization inherent to the position, may be required.

Appointment Information

This is a 100% full-time Civil Service 5002 - Program Coordinator position, appointed on a 12-month basis. The expected start date is as soon as possible after the deadline date. The budgeted salary range for this position is $63,000 to $69,000. This position is eligible for a hybrid work schedule (remote work and in-person work in Champaign-Urbana each week). Sponsorship for Work authorization is not available for this position.
