Job Summary

Department-Specific Responsibilities

  • Works with the Director of Student Engagement and Success to coordinate and implement various events that support the following areas: Student Organizations, International Experiences, Luddy School of Informatics, Computing, and Engineering Living Learning Community, graduate and undergraduate student events, and special populations.
  • Coordinates and oversees projects to ensure timely and effective project development and completion.
  • Manages program and project planning and execution, including needs assessment and goal setting for events such as the Luddy School of Informatics, Computing, and Engineering Induction Ceremony, Direct Admit Student Orientation, Graduate Student Orientation, etc.
  • Contributes to budget planning and supports the financial management of all student organizations, including monitoring, verifying, and reconciling expenditures.
  • Processes invoices and bills, records transactions, prepares reports, and maintains comprehensive event documentation.
  • Oversees record keeping and file maintenance for programs and projects, ensuring accurate documentation of activities and timely processing and delivery of materials.
  • Verifies and analyzes data accuracy, resolves discrepancies, and addresses any issues that arise.
  • Coordinates and attends meetings; manages internal and external communications as needed.
  • Handles all aspects of travel arrangements for the Director of Student Engagement and Success, Associate Dean for Undergraduate Education, and students participating in technology tours, conferences, and hackathons.
  • Processes reimbursements for out-of-pocket and travel expenses.
  • Organizes lunches and large events for both the Assistant Dean of Student Services and Director of Student Engagement and Success.
  • Oversees purchasing of materials for the Living Learning Center, the Director of Student Engagement and Success, and the Assistant Dean for Student Services.
  • Schedules and maintains calendars for the Director of Student Engagement and Success and the Associate Dean for Undergraduate Education
  • Provides advice to participants.
  • Serves as a liaison.
  • Acts as a resource person by performing research, analyzing information, providing documentation, and preparing records.
General Responsibilities
  • Assists with administrative needs related to the daily operations, planning, and implementation of student life initiatives. Performs duties such as attending a front desk, answering phones and email, and delivering messages and mail.
  • Serves as a liaison to campus partners for cross-departmental student life initiatives, providing information, securing space reservations, scheduling planning meetings, and providing necessary documentation.
  • Provides assistance to student participants, stakeholders, faculty, and/or staff; acts as a resource by analyzing information, providing documentation, and preparing reports.
  • Provides directions, support, and information to student organization representatives and other visitors to the department.
  • Assists with daily scheduling, training, and gathering of student feedback. May prepare and disseminate handouts, presentations, or other materials.
  • May assist with ordering or creation of promotional materials for student organizations.
  • May provide guidance to other Student Life Coordinators.

EDUCATION

Required
  • High school diploma or equivalent (such as HSED or GED)

  • 2 years in office environment, higher education, or related field

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

Advertised Salary

$33,000 - $47,000 per year based on experience

Work Hours

8:00AM - 5:00PM Monday through Friday

Occasional evening and weekend work is required.
