  • Receives and greets visitors, employees, customers or other business partners, ensures they follow all visitor security protocols and guidelines.
  • Coordinates all visitor, employee, customer and/or other business partner inquiries, and directs them to the appropriate persons according to business needs.
  • Audit visitor security log daily and report any security variances.
  • Answers telephones and gives information to callers, takes messages, or transfers calls to appropriate individuals.
  • Support incoming/outgoing parcel activities.
  • Orders office supplies, business cards and company stationary. Ensure company approved logos for correspondence is followed, i.e. stationary and business cards. Order from approved sources.
  • Maintain and coordinate company meeting room space for engagement activities, meetings and training sessions.
  • Responsible for accurate, complete and timely employee data updates through the data entry and/or completion of the appropriate standard form or HRIS transactions. Updates may relate to new hires, terminations, employee job changes, leave activity, department or work location changes, changes in pay, etc.;
  • Perform daily audit of hourly employee time and attendance records to ensure accurate payroll data is processed to payroll team during the defined pay period cycle(s). Follow all established compliance controls and corporate governance requirements;
  • Support local and national projects and initiatives;
  • Perform monthly union payment reconciliation and processing;
  • Support local recruitment activities. Track applicants to ensure affirmative action plan compliance. Assist with on-boarding activities;
  • Partner with department managers for effective labor utilization and planning;
  • Run attendance reports and audit for accuracy. Draft attendance discipline letters in support of attendance policy guidelines.
  • Prepare, post and apply vacation selections in accordance with vacation selection requirements as defined by the location or CBA, if applicable;
  • Prepare and post position bid posting per the established job bid procedures. Update bid job and job qualification spreadsheets as required;
  • Coordinate and reconcile weekly employee uniforms (locker assignments, new orders, changes, invoice review/approval);
  • Support on-boarding activities, prepare on-boarding materials.
  • Coordinate and reconcile security badges program;
  • Support internal and external audits;
  • Support employee relations activities;
  • Maintain employee training files, training metrics and position qualifications tracking spreadsheets for all employee's;
  • Maintenance of employee personnel, medical and LOA files in accordance with company and record retention guidelines;
  • Must maintain the highest degree of confidentiality;
  • Adhere to the Saputo Code of Ethics and actively apply the Saputo Values;
  • Work together professionally in a team environment with coworkers and other department personnel;
  • Support other departments as needed and perform other duties as required by management.
Job Requirements:
  • Requires a High School Diploma or equivalent. Associate degree preferred.
  • A minimum of 2 years previous experience in an HR support role.
  • Proficiency in Microsoft Office Suite.
  • Proficiency with HRIS and HR Time Keeping Systems preferred, Kronos or Workforce Software experience, a plus.
  • Must be self-motivated and able to work well independently.
  • Ability to understand and add value to the business.
  • Ability to deliver and execute high-quality and consistent Human Resources processes and services.
  • Excellent verbal/written communication skills.
  • Ability to work collaboratively with all departments, management levels within the company, and external stakeholders.
