Department Information

The IU School of Medicine (IUSM) is the largest School of Medicine in the country. The Bloomington regional campus is the largest campus outside of Indiana, and hosts 100 medical students, 35 graduate students, over 400 baccalaureate students pursing a minor in Medical Sciences, and thousands of baccalaureates and graduate students enrolled in our medical sciences courses. Our faculty includes basic and translational science research faculty in Cell and Molecular Cancer Biology, and educational research faculty in Anatomy; teaching faculty who support the baccalaureate, graduate, and medical doctorate teaching missions, and over 250 adjunct faculty in our region.

The IUSM-Bloomington enjoys close relationships not only with the other Schools on the Bloomington campus, but also with the Simon Cancer Center, the statewide Clinical and Translational Science Institute, Regenstrief Institute, and IU Health South Central Region. In the next few years, our campus will launch the first ever Graduate Medical Education programs in Bloomington in Emergency Medicine and Internal Medicine. These medical residencies will deepen our relationship with IU Health and the IUSM Graduate Medical Education office, and improve the medical care provided for nearly half a million patients in the South Central Region of Indiana.

Job Summary

The coordinator's primary role will be to provide administrative support for the phase 2 (third year of medical school) and phase 3 (fourth year of medical school) clinical rotations for the IU School of Medicine Bloomington campus. This requires a thorough knowledge of curricular requirements, as well as establishing and maintaining relationships with our teaching partners, including hospitals, clinics, outpatient centers, practice groups and physicians.

Department-Specific Responsibilities

  • Serves as the primary point of contact and liaison between statewide Clerkship Directors, local Bloomington Site Directors, the IUSM-Bloomington campus leadership, and local physicians.
  • Coordinates the 3rd year clerkships, and 4th year required and elective rotations for up to 72 medical students. This includes day-to-day operation of all the clerkships.
  • Ensures local clerkships provide all required instruction and clinical experiences to fulfill curricular needs, with the Campus Dean and the Assistant Director for Clinical UME/GME, and with the support of the statewide Clerkship Directors in each discipline.
  • Serves as a point of contact for students for accurate information about each course, clerkship and elective, as well as academic policies and procedures; works with the course/clerkship director to assure it is complete.
  • Helps develop and facilitate necessary faculty development for clinical clerkship preceptors with the Assistant Director for Clinical UME/GME, statewide and local clerkship directors, and the FAPD office of the IUSM; provides faculty with their student-generated feedback and working with the Campus Dean to determine whether retention/reappointment is appropriate.
  • Serves as the campus's designated chief proctor for the National Board of Medical Examiners, directing, proctoring and administering subject-specific ("shelf") exams for the phase 2 and 3 rotations that require them.
  • Assists with arranging 3rd and 4th year Objective Structured Clinical Examinations (OSCEs) and simulation exercises.
  • Develops and manages external relationships with the medical community (including physicians and hospital administrators), community service agencies and foundations, academic institutions and state legislators relative to the educational mission at IUSM-Bloomington. In person meetings with administrators of local hospitals and physician groups will be necessary to negotiate use of facilities and to recruit teaching faculty to ensure students have a meaningful and effective educational experience.
General Responsibilities
  • Identifies areas for programmatic improvement and develops and implements initiatives to address weaknesses.
  • Establishes program-specific policies and procedures for candidate recruitment.
  • Acts as a liaison between internal and external constituents; develops and manages external relationships with medical community.
  • Creates research opportunities and tracks progress ensuring learning opportunities for students and residents.
  • Responsible for logistics of the student and resident program. Counsels residents concerning board requirements, adjusting schedules to meet requirements.
  • Constructs action plans and puts in place processes for managing performance expectations in the unit based on goals and deadlines.
  • Ensures the maintenance of all relevant program accreditations.

EDUCATION

Required
  • Bachelor's degree (preferably in medical education or related field).
Preferred
  • Master's degree
WORK EXPERIENCE

Required
  • 3 years in related field
Preferred
  • 5 years of experience in an academic or health care administrative role; experience with assessment/evaluation, including remediation of students at an advanced level

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

Work Location

This position is eligible to work a hybrid schedule (mix between 1-2 remote days and in-person work), subject to change in the future based on university policy and business needs.

Advertised Salary

$54,000 - $58,000 annually
