Our honors and scholars programs, research and journalism initiatives, and research-centered internships create opportunities for students to put their liberal arts & sciences education into practice in mentored settings. We support undergraduate research at all stages - from conception and planning to funding and travel - through hands-on experiences that prepare students for lives and livelihoods of purpose.

Position Summary:

William & Mary's Charles Center invites applications for a Program & Events Coordinator to support the Charles Center's robust portfolio of undergraduate student programs and sponsored events which are essential to the William & Mary community. Under the direction of the Undergraduate Research Program Administrator, you will assist with planning and executing programming activities for the Monroe Scholars Program in addition to supporting multiple Charles Center-sponsored events throughout the year. Monroe Scholars are high-achieving students who pursue scholastic discovery, curiosity, and intellectual depth beyond the classroom. The Monroe program offers an enrichment series of events for academic and professional development as well as opportunities for peer mentorship and social connections. Monroe Scholars are also eligible to apply for designated funds to complete summer research projects, internships, and conference travel.

Every year, the Charles Center holds several large-scale events open to the campus community, such as the Fall Undergraduate Research Symposium, as well as smaller workshops and outreach events to connect students with high-impact opportunities including research, internships, and applied learning.
This 12-month position is based in Williamsburg, and the incumbent will be expected to work in person on campus. Occasional evening and weekend work will be required.

Primary responsibilities include:

  • Planning and implementing programming activities, including assisting with associated budget planning and expenditure tracking, logistical planning, and execution of events, and facilitating purchasing and catering requests.
  • Administrative management, including administration of the student summer research grant application and other student and faculty awards.
  • Facilitating communication with students, faculty, and internal/ external partners.
  • Connecting students with partners, programs, and services.
  • Supervision of undergraduate and graduate fellows.
  • Management of Charles Center event and meeting space reservations, including communication with groups using the spaces and oversight of university assets.
Conditions of Employment:

This is a full-time, benefits eligible position based in Williamsburg and the incumbent will be expected to work in person on campus. Occasional evening and weekend work will be required.

Required Qualifications:

  • Bachelor's degree in a relevant field or equivalent combination of education, training and/or experience.
  • Knowledge of event planning and execution.
  • Demonstrated ability to communicate effectively with students, faculty, and internal/external partners (both verbal and written).
  • Demonstrated experience and competency working collaboratively with diverse populations of students, faculty, and the public.
  • Demonstrated proficiency in computer skills to include Internet browsers and Microsoft Office: Word, Excel, PowerPoint, and Outlook.
  • Excellent organizational skills and attention to detail.
  • Ability to quickly learn and implement the use of new technological platforms.
Preferred Qualifications:

  • Master's degree in an Arts & Sciences academic discipline or in higher education.
  • Experience working in a higher education environment.
  • Experience supervising students or staff.
  • Demonstrated ability to develop, interpret, and implement policies and procedures.
  • Knowledge of procurement and purchasing policies and procedures.
  • Working knowledge of fiscal administration to include expense tracking.
  • Previous undergraduate or graduate research experience.
  • Experience with various web-based communications resources including survey and design platforms such as Constant Contact, Qualtrics, and Canva or equivalent.
