The Wake Forest University School of Business is seeking qualified candidates for the role of Program and Site Coordinator for the Charlotte Center. This role is responsible for providing administrative support to the Schools of Business and Professional Studies Charlotte-based staff, faculty and students. Serve as the Charlotte Site Coordinator, assisting with/oversees the daily operations and vendor management of the Charlotte Center facility. Serves as liaison with vendors and student/staff/faculty to address building maintenance, event, and access needs. Provides administrative support for Integrative Student Services, Market Readiness and Engagement, and Enrollment Management for the Charlotte MBA programs.Job Description

About the Role

Essential Functions:

  • Supports the Schools of Business and Professional Studies in the management of the Charlotte facility. Works closely with vendors, property support staff and school personnel to insure the smooth and efficient operations of the site.
    • Coordinates catering for all functions, including class meals
    • Coordinates ICCS Cleaning Service and Lincoln Harris Property Mgmt. requests
  • Coordinates operational, logistical, and administrative functions.
    • Maintains Charlotte Main calendar - Class Calendar and Room Scheduler
    • Supports need for in and outbound mailings and deliveries
    • Support general organization of common areas and storage spaces
  • Supports programming events (e.g. new student orientation, team-building events, milestone celebrations, as well as other events), including liaising with internal and external stakeholders where appropriate.
  • Serves as the initial point of contact for visitors to the Charlotte facility to provide access to facilities and other needs. Greet all visitors whether in person or telephone to the Charlotte Campus; provide information to prospective students and direct attendees for all campus-based activities.
  • Coordinates with MBA team in Charlotte to schedule on-site coverage for students as they arrive on class nights and occasional Saturdays.
  • Communicates to MBA students; process payments; provides parking assistance; assist presenters, as needed.
  • Ensures all relevant textbooks and course materials are ordered, received and distributed in a timely fashion for ground/in-person MBA Programs.
  • Provides support to presenters and instructors of the MBA program to ensure all on-site classroom materials are available.
  • Invoice management - Process and track all Charlotte MBA expenses in compliance with the University P-card and prepare detailed monthly expense report.
  • Administrator of the parking validator for Charlotte-based students, faculty, staff and guests and parking validation software
  • Support MBA faculty in terms of car service schedule, hotel reservations, organizing mailboxes, distributing books, exams and course evaluations.
  • Maintains office, classroom, pantry and refrigerator supplies

Required Education, Knowledge, Skills, Abilities:

  • High School education or equivalent and at least three years of relevant experience.
  • General knowledge of daily operations tied into the management of a multipurpose facility. Strong knowledge of general office practices and procedures.
  • Ability to organize workflow and coordinate a multitude of activities.
  • Expectation of computer competence to match position- comfortable with work order systems, building access and building reservation systems, word processing and mail merges and prompt email correspondence.
  • Ability to research and resolve building maintenance, custodial, dining service and security problems and opportunities.
  • Ability to demonstrate effective communication skills, both verbally and written, to a broad audience of students, faculty, staff, administrators, vendors, and university guests.
  • Ability to build alliances and partnerships with other internal and external organizations.
  • Ability to answer moderately complex questions. Seeks additional information to perform assigned duties.
  • A strong attention to detail.

Preferred Education, Knowledge, Skills, Abilities:

  • Associate degree

Physical Requirements:

Work primarily involving sitting/standing; communicating with others to exchange information; repeating motions that may include the wrists, hands, and/or fingers; and assessing the accuracy, neatness, and thoroughness of the work assigned. Occasionally requires adjusting or moving objects up to 25 pounds in all directions.
