Job Summary

IU Northwest is actively seeking a Project/Administrative Coordinator for the Office of Administration. Do you have a passion for improving systems and have an entrepreneurial spirit, then we are looking for you to fill this role!

Department-Specific Responsibilities

  • Responsible for the administration of campus Parking Operations and will assist in daily administrative & financial support of the Office of Administration.
  • Frequently communicates with campus constituents on project statuses, ensuring that projects go smoothly and meet deadlines. The public-facing role provides administrative support, including but not limited to monitoring departmental e-mails, phone, and in-person transactions.
  • Keeps the team updated.
  • Provides financial support for the department.
  • Keeps a day-to-day task tracker, maintains the project resources.
  • Manages the project communication channels.
  • Facilitates procedural/operations-focused projects on campus and is not a construction or programming-centric role.
  • Provides support for the Office of Administration functions, resources allocation, and communication.
  • Performs and provides a variety of administrative tasks to support the function of the Office of Administration, exercising confidentiality, tact, and diplomacy.
  • Monitors and directs incoming calls, mail, and e-mails promptly, courteously, and accurately.
  • Performs financial support for the department's daily operations. Areas include, but are not limited to purchasing, account payable, and receivables. Investigate, resolve, and reconcile account transactions.
  • Facilities solutions to complex, cross-functional issues and communicates developments to stakeholders.
  • Participates in the development and implantation of administrative standards, polices, and practices for the organization and makes process improvements as needed.
  • Performs duties related to maintaining the departmental website and various administrative software programs, coordination of departmental events, and provision of general support of campus operations.
  • Performs other duties as assigned.
General Responsibilities
  • Coordinates support for project management activities, resource allocation, and communication.
  • Develops a schedule designed to meet necessary deadlines and communicates with team members.
  • Monitors project progress and handles moderately complex issues that arise.
  • Ensures projects adhere to frameworks and all documentation is maintained appropriately for each project.
  • Collaborates with cross functional teams with varying levels of seniority and experience to support various programs.
  • Performs a variety of administrative skills and prepares correspondence related to the project.
  • Maintains a detailed, organized file and records system.

EDUCATION

Required
  • High school diploma or equivalent (such as HSED or GED).
WORK EXPERIENCE

Required
  • 2 years of relevant experience.

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

Job activities and/or office functions will require regular movement throughout campus.
