Job Title: US Benefits Manager - People Service Center

Location: Miami

Description

As a US Benefits Manager - People Service Center, you will lead the implementation and management of the company's benefits programs, ensuring they meet the needs of our employees while aligning with organizational objectives. You will oversee all aspects of benefits administration, including health, retirement, and wellness programs, and ensure compliance with relevant regulations in partnership with COE. Your role involves working closely with vendors, administering the annual open enrollment process, and continuously improving benefits offerings. Additionally, you will handle relocation administration and serve as a key point of contact for employee benefits inquiries, providing exceptional customer service and support.

Key Responsibilities

Benefits Administration:

  • Manage the day-to-day administration of Galderma's comprehensive employee benefits programs, including health, dental, vision, life insurance, disability, 401(k) plan, and wellness initiatives.
  • Administer various fringe benefit and employee perks, including Aspire Program, Cetaphil Coupons, Financial Reimbursement, Executive Physical, Tuition Reimbursement, and Social Allowance.
  • Coordinate with the benefits broker & COE to plan and execute open enrollment activities, ensuring a smooth process from communication and education to enrollment and post-enrollment support.
  • Collaborate with the Total Rewards COE and HRIS team to update integration configurations as needed and address benefit carrier file errors and ensure the accuracy of benefits enrollments in Workday.
  • Design and execute benefits communication strategies in partnership with COE and the Benefits vendors, including the drafting of employee guides, training sessions, and webinars to educate employees on available benefits.
  • Respond to employee and HR inquiries regarding benefits plans, status changes, and general questions through Workday case management, ensuring timely and accurate communication.
  • Create purchase orders for benefits and manage the reconciliation and processing of invoices in close partnership & the guidance of the COE for all group plans.
  • Analyze and interpret existing benefits processes, providing recommendations for increasing efficiency and improving related workflows.

Compliance & Regulatory Management:
  • Administer the annual 401(k) audit, non-discrimination testing, and completion of all applicable tax filings with guidance from COE.
  • Oversee the administration of leave programs in accordance with FMLA, ADA, and other relevant legislation in close collaboration with COE and the Leave of Absence carrier.
  • Liaison with benefits broker to ensure filing of the annual 1095Cs and Form 5500 filings for our health and welfare plans.
  • Responsible for benefit files, plan summaries, policies, annual ERISA updates, annual 401(k) plan notices, and posting plan information as well as important updates in HR Hub (intranet).
  • Stay current of relevant developments in legislation/regulatory issues and other trends in areas of responsibility that may impact business operations and internal policies

Relocation Administration:
  • Manage the company's relocation policy, ensuring it is consistently applied and effectively administered with support from COE and the HR Business Partners.
  • Coordinate with relocation service providers to assist employees with housing, moving, and settling into new locations.
  • Serve as the primary point of contact for employees undergoing relocation, providing guidance on policy details, eligible expenses, and overall process.
  • Monitor and process relocation invoices, ensuring compliance with policy and budgetary constraints.

Key Qualifications
  • Bachelors Degree Required in Human Resources, Business Management, or related field preferred.
  • Minimum 5 years of work-related experience in Human Resources overseeing US Benefits administration.
  • Certified Employee Benefit Specialist (CEBS) or similar credentials are a preferred
  • Hybrid working policy that consists of a minimum of 3 days in office
  • Experience with HRIS platforms (Workday preferred) for benefits administration, reporting, and system configuration
  • In-depth knowledge of employee benefits programs, including health, retirement, wellness, and leave programs.
  • Strong understanding of federal and state regulations, including ERISA, HIPAA, ACA, FMLA, ADA, and COBRA.
  • Proven ability to manage relationships with benefits vendors, brokers, and service providers, including contract negotiation and performance evaluation.
  • Successful collaborative experience with the business and control functions in, launching and administering benefit plans.
  • Strong project management skills, with the ability to lead complex initiatives such as open enrollment, audits, and system implementations.
  • Strong commitment to providing exceptional service to employees, with the ability to handle inquiries and resolve issues in a timely, empathetic, and professional manner.
  • Ability to work independently, take initiative, prioritize work, meet deadlines, and drive results.
  • Advanced skills in building and manipulating Excel spreadsheets.
  • Ability to communicate and present effectively to all levels in the organization, both verbally and in writing.
